Job Description
The objective of this assignment is to provide administrative, logistical and clerical support for the implementation of the activities under the Pandemic Fund Project in North Macedonia, ensuring the timely organization, coordination, documentation and administrative management of project activities, workshops, technical consultations, missions, procurement processes in accordance with WHO rules and procedures, while supporting, where relevant, coordination with related health system resilience, UHC and health security processes.
Tasks:
A. Administrative support for the development of the National One Health Surveillance Strategy for Genomics and Zoonoses and implementation of the TTX SiMex
The Contractor will:
Provide administrative and logistical support for the implementation of the National One Health Surveillance Strategy and TTX SiMex activities.
Coordinate administrative communication with the Ministry of Health, Institute of Public Health, Veterinary Agency, Food and Veterinary Agency, Ministry of Agriculture, Environment, national institutions and implementing partners
Support the planning, organization, and implementation of technical meetings, workshops, consultations, missions and simulation exercise activities, including preparation of agendas, invitations, participant lists, meeting materials and minutes.
Liaise with government institutions, implementing partners and consultants to facilitate administrative coordination and follow-up of agreed actions
Support procurement, travel arrangements, consultant administration and other operational processes in accordance with WHO procedures.
Monitor and follow up on agreed actions, timelines, deliverables, and reporting requirements arising from meetings, consultations, workshops, and technical discussions.
Maintain project documentation, filing systems, activity trackers and supporting records, and contribute to routine implementation and donor reporting
Provide administrative and coordination support, as relevant, for related WHO-supported activities and processes aimed at strengthening health system resilience, advancing UHC and strengthening health security in primary health care, including support to relevant meetings, consultations, documentation and follow-up of agreed actions.
B. Documentation, reporting and knowledge management
The Contractor will:
Maintain complete electronic and hard-copy project documentation;
Prepare monthly implementation updates;
Compile documentation supporting WHO and donor reporting; maintain records of workshops, consultations and missions;
Archive project documentation according to WHO requirements.
Education:
Essential: Equivalent to graduation from secondary school or equivalent technical or commercial school
Desirable: Higher education degree.
Experience
Essential: At least 3 years of relevant experience in the administrative field.
Proven experience in administrative support functions
Experience in document management and organization of meetings and workshops
Strong organizational, communication, and interpersonal skills
Ability to work independently and maintain confidentiality
Proficient in written and spoken English and Macedonian.
Desirable: Relevant experience in the UN system or an international working environment/institution.
